With reference to the 3rd (Ordinary) Meeting of the Board of Governors, which is scheduled to convene at Headquarters Tokyo on 1st December 2006, please find attached a copy of the proposed agenda, for your kind consideration and comment.

You approval of this Proposed Agenda would be appreciated prior to this being circulated to all other Members of the Board for information.

They are asking for your input, so give it. Offer suggestions or
alternatives, if any. Be careful not to be to critical or offensive.
You may not know who proposed this agenda. Try to understand where the author is trying to go and help him/her get there. Odds are if they did'nt want or value your input they would'nt have asked for it. They asked because they want it. Just be sensitive
and politically correct. Most importantly be assertive.

I nice short note would read..."I concur with the contents of this proposed agenda" and you can say its safe or "acceptable" to be circulated to the involved parties...
