how does a secretary sign off on a letter addressed by someone else?

In my last job, I had to write letters for other people. If they weren't around and I couldn't wait for them to come back to sign it, I would sign their name and then put a / and then my initials.

I would sign my name and on the side of left side of the person name put for.

eg.
Sincerely Yours,

Jane Doe

(for)John Doe

at the far right hand side of letter at bottom , include your initials only.
