As a mentor of young people i had to organise an event to complete an award for young people first you have to asses all safety aspects right down to first aid clothing you have to be aware of every thing that could go wrong and put things in place to cover yourself then look at food refreshments comfort of the people and availability of event facilitators ex- bands /groups or availability of activity you are following and on basically go look at another event of similar proportion and get ideas and it is always best to run it past governing body's in that Field
remember you manage an event you are libel for any accidents so liable insurance is best

I have managed events over the years using volunteers.

I would recommend a Management Committee if it is non-profit making.

The biggest problem is now Insurance. However, your event does not give enough details to answer.

This is an event I am helping to manage at the moment, please take a look at the link, and you will see.
It is quite difficult to explain to someone how you do it, mostly it is "winging it".

As a problem arises, you hope you can solve it and you take things as they come.
That seems to be the best way, because we all know plans do go as we want them to, and if you are winging it, when the plan goes pear shaped, you are already waiting for it to happen.
