As the property manager you are the agent of the property owner, and you are responsible for the day to day upkeep of the property. You will work to ensure that the property produces the highest possible rent, while keeping costs in line. Tenants will usually contact you with comments, complaints, and problems. You are responsible for assessing any problems or complaints, and after discussion with the property owner, working to fix those problems.
You must be familiar with Landlord/tenant law in your area. You should understand exactly every clause written in the lease used for renting the units. You should understand exactly the rules and guidelines set out for the property, and you must work to follow the law while working in the best interest of the property owner.
Upkeep of the apartments, upkeep of the building systems, and upkeep of the grounds are important responsiblities but,140 units is usually considered a large number of apartments, so you will not be expected to do all the work yourself. Instead you will oversee and inspect the work of others. For example, you may be able to hire a full or part time rental agent, and a crew to do general maintenance.
You will no doubt have major projects such as roof repair, painting, landscaping, air conditioning maintenance, lawn care, snow removal, plumbing, furnace maintenance, and so forth that you will need to schedule, coordinate, and oversee. You will hire contractors as the budget allows, but you should have a basic understanding of building repairs and proper maintenance.
You may be responsible for collection of rents. Usually, you will have an office located on the property. You may be responsible for evictions. You will be responsible to inspect apartments after a tenant moves out, and prepare the apartment, making it ready for the next tenant moving in. You may be responsible for showing apartments to prospective tenants, by appointment, or as available. You will probably have a model apartment that you use for showings, or you may have to coordinate showings with a tenant who is living in one of the units.
Your goal is to have all 140 units fully rented at the highest market rent possible.
Spend time getting to know the community, while noting the general condition of the buildings and the grounds. You should talk to current members of the community to find out as many specifics about the buildings, and the people who live there as you can. You may have a community who is generally very happy with conditions there. On the other hand, you may find there are many problems, some of which may be very difficult to correct. With each situation, the duties of the property manager will be very different.
