A paperless office relies on databases and file servers to keep track of all the paperwork that makes the office function. For things that need a signature these are replaced with digital signature certificates.

Some copier companies will sell you a monster copier machine that will convert all of your documents into PDFs and organize them in an easy to access database.

The paperless office is rare. Even in the most advanced offices you will still see every now and then that there is one piece of paper that has to have a physical signature.

It has never worked.

You were supposed to do everything on your computer screen so you would not need to keep a paper copy of what was going on. Not surprisingly everyone wanted to keep a parer copy anyway so it never cut down on the amount of paper needed. it turns out that if someone asks you what price was quoted to a customer last month it is easier to look in a file cabinet than to flip through lots of emails Also if the computer died, retrieving info from the backups was harder than going to the file cabinet for it. And of course if you wanted to look over some info while flying to a meeting about that info, your computer files were not as helpful as packing some papers.

When they say paper-less it does not mean NO PAPER AT ALL!
But it means that most of thing are done by computer applications and communications and managements are done by proper computer programs. The benefits that CAN be are:
1.managing your information is fast and easy
2.you will have archives from your data
3.you can have transaction jobs done
4.your connection to your clients/suppliers is fast and accurate
5.procedures of information is clear in your firm
