Currently employees writing a note in register. Attendance system is also there. But for what specific work they are going out "ON DUTY" and coming that is unable to be logged. Especially Drivers, Peons and Marketing guys.

Maintain a Outgoing Register and make it compulsory that everyone enters it.

It should be filled in only when one goes out of the office giving details of his where-abouts.
Date, Name, Destination, Purpose, Outgoing Time,
Returning Time (with signature).

He writes everything except the Returning Time,
because if this column is blank it means that person is still out. So he returns back and then signs the Returning time.

This way you can keep a clear track who is out/in of the Office.
This register will also help you when they claim for conveyance.
If their name and details is not found in the register then do no pay their false conveyance claimed by the employee.

This will make everyone fill the Register.

You need to install a close circuit TV on the entry & exit gate of your organization. In addition a time punching machine which would control entry and exit (like thise found on Metro Station in delhi) would keep a watch on time of entry and exit of individual employees. If a particular employee is recorded to be spending more time outside the office, he may be asked to explain the purpose of his visits.

If the company goals, the department goals and personal goals are set in place the right way, it should be of no real concers how the employees spend their working time. Especially if there are status reports and regular performace checks in place. Give space, demand responsibility.

Your question does not give full details. Any how, If it is manually monitored...as you keep the register...include some more columns to make them right the purpose also when they go out.

If it is computerised system...it can easily be achieved. You need to consult with some HR software developer.

If u are a large office and can afford it, use a digital system with punch in cards at all doors issued to all employess, else, just hire a guard and ask him to note down everyone's IN and OUT time...!!

the last large company I worked for had a digital, web-based, In/Out bulletin board for people to indicate if they were In/Out/Lunch/or Busy

time keeping computer based sys can be installed,any body who goes out punches few buttons,regarding time of going out ,purpose and time of coming back.Its installed in many units.
