Any tips on what we should include in our letter request???

In the first paragraph (probably within the first 3 sentences) make sure you tell them the reason that you are writing - i.e. You are in need of sponsors for a charity fundraiser.

In the second paragraph you should tell them what the charity does (briefly) and what publicity sponsors will receive in return for... well sponsoring (I assume a large donation). If their are different things they can sponsor or different levels of sponsorship include that here (i.e. hole sponsorship, dinner sponsor, gold/silver sponsor).

In closing do the direct ask (will you sponsor??) and thank them.

That's from my experience anyway. Also, if you have some connection to the company make sure you mention that in the first paragraph.

There is a lot of good info on the web. Plus, don't over look your local library. There are a lot of books on this subject. If this is something you may be doing often, you may want to invest in a couple good books on this subject.

If they have a web site look them up. If they do sponsor, they should have info about it on the web page (usually under "community"). If there is no web site, call them and ask if they can send you info on their rules and regs about letters of requests. Make it worth their time and effort. Businesses want to create business. Will your event be attended by your local community where they are servicing? Therefore, creating potential customers for them. Can you do a featured article in your local paper about their sponsorship of your event? Will you have a program for the event in which you can acknowledge the company and talk about what fine services they provide? Do you know anybody that knows anybody of importance at the business that could go and put a good word in for you? That would be a big help. Get creative on the ways in which their sponsorship will serve both your purposes.

My best advise to you is to make sure that you are a good fit for the company. For example, do they seem only interested in helping further grade school education and you are looking for funding for a college? Not a good fit. Also, follow ANY directions that you may get from the company about submitting letters of request. They get lots of them and can weed requests out just because the directions were not followed. just give a brief description of your background and what is motivating you to do this project, and briefly discuss the project, including where it is at the time you are writing the letter and when you propose to finish it. Also include in the letter the potential exposure the sponsor will get and what you want from the company. Include a deadline for a response. A good time schedule is to request a reply within 15 days after you have sent off the proposal.

Address the letter to the corporation's public affairs officer.
Include information about your charity, brochures, benefactors, etc. Any previous events you have had would be beneficial as well. Provide plenty of contact information and references to other corporations for confirmation. Conclude your letter with your contact info and request for an appointment to talk with them in-person to answer any other questions they might have.
