I'm looking for a form or a letter to send to the applicant where I can fill in the reasons why they were turned down

Here is a copy of a letter I used to use when I rented properties...you can make it work for any type of situation....there is really no need to sign it at all, you can just send it out like a form letter when an applicant does not work for your apartment complex. Best wishes =)

Thank you for your recent application.

We regret we are unable to offer you tenancy for the following reason:

***(type in reason here, i.e., Delinquent Credit Obligations)***

Our decision was based in whole or in part on information obtained in a report from the consumer reporting agency listed below. You have a right under the Fair Credit Reporting Act to know the information contained in your credit file at the consumer reporting agency. The reporting agency played no part in our decision and is unable to supply specific reasons why we have denied credit to you.

The Federal Equal Credit Opportunity Act prohibits creditors from discriminating against credit applicants on the basis of race, color, religion, national origin, sex, marital status, age (provided that the applicant has the capacity to enter into a binding contract), because all or part of the applicant's income derives from any public assistance program, or because the applicant has in good faith exercised any right under the Consumer Credit Protection Act. The company that does our credit checks for us will provide a form letter if asked. Basically, you check off the reason that the prospective tenant is not getting the apartment and then send it to them. The advantage to this letter is that they have had it screened by their legal team (in order to be charge with any form of prejudice) and it is direct and to the point.

First you better check the law and see the reasons YOU CAN turn down an applicant and then do your letter based upon those reasons. Otherwise, you may be looking at some lawsuits.

A simple way is to make the conditions of rent too high. For example ask for 1st and last, damage deposit, credit check, references, employment profile etc. If one item does not meet your standards say sorry.

I was in apartment management for several years..... you can make your own form on the word processor or go to a property management company and buy a pad of forms....or they may give you one.

You are making this up...


Any renter knows YOU run a background check ...
If it passes, fine.
If it does not, you tell them to contact the credit reporting company. Period.
Thats all you can tell them... and all you need to tell them.

i don't no where you are from but here in south carolina you don't have to give a reason other than they don't meet your screening criteria that's what i always put maybe you can use that as well you can IM me if i can be of further help to you
