I have to come up with a better way of sstaying on top of change orders. Right now, I keep them in biinders, but what exactly should I be keeping in there? Presently we have a copy of EVERYTHING. If we have faxed a change more than once we have a copy of every single page for each time we faxed it. Is this necessary?

Don't keep copies of the same thing, just the fax coversheet. When the change order is approved and you have been paid then you can take it out of the binder ad store it in Bankers's boxes.

Depends on what business you are in. If its construction, then its absolutely necassary. If you want to cut down on use of space, get a scanner, and and scan a copy of all your CO's onto a computer. MAKE SURE TO BACK IT UP SOMEWHERE. You can use Yahoo! briefcase and save a copy of the files online as well as your computer. That way the info can be easily located and transfered as well. Make sure to label all your COs well so you can just go to start menu and "find files" and just search and presto you have it in your hand without all the files. Technology can be wonderful, but like I said, make sure you have a backup!!! That's how I would do it. Good luck and please let me know if you go through with this idea. Joe
