I use Microsoft Outlook at work. I already use message rules so that incoming files go to specific folders, for example by client.
I need a good way to archive these, so that they're easy to find, but I don't have a ton of emails to scroll through every time I'm looking for something.

Then you are looking for a local search tool that will allow you to search through your email for specific items. Microsoft Outlook does have this ability, but limited. I've found google desktop to work very well - and it is free. There used to be a big security flaw with the software, but they have patched that vulnerability. There are other desktop search tools that can be used to search through your files and email, but many of them cost money.

I designed a relatively easy system for this. It comes in two parts; Outlook and Access. First, archive your e-mails in a .pst file separate from your existing storage (.pst or Exchange). Second, create a second identity in Outlook (called "archive" or whatever). Have the second identity point to the archived .pst file, then open Outlook to that new identity. Third, open Access and create a database by importing external data. Point to Outlook as the data source and let Access build the database.
"Poof!!" You've got a fully searchable database with all your e-mails organized by sender, received by, date, title, body, blah blah blah... every conceivable category. Most relevant data/text will be right in the Access database. For html code, etc. you can easily reference the e-mail and look it up directly in Outlook.
