Look into a software solution: there are good accounting software, like Simple Accounting, that allows you to do all that quite simply.

Quickbooks Pro is OK. It can be a bit of a pain the butt, but it's certainly the cheapest accounting software that does all you listed. I don't know what kind of business you're in, but there's often software programs created just for your type of business. I'd look into those too. They're so much easier to use. For example, Timberline Accounting is for contractors and therefore tracks job cost ,etc.
