retrieve it by searching just putting 2 or 3 letters in search box. How can I acheive it and what I need to buy and how much I will cost?

Don't count on any particular hard drive lasting 5 years. Make sure you've got some form of redundancy if you want to go that long (i.e. get a RAID controller and a second drive).

How you search for the data is dependant on the program you are using to store it. Figure that out first. A good contact manager is ACT.

I would recomend putting it on a thumb drive. This way it is small and easily accessible. Are you going to be the one who stores the data? You might want to make sure you also back it up on another drive so that if for some reason the primary storage area fails you can still access it...ie the hard drive goes bad but you have it on a thumb drive or a memory stick so you can also access it from another place. Prices for these range from $12=100+ depending on how much space you need and how secure you need it to be.

You could use any database software and back it up on a zip drive or floppys. Just don't put all youre eggs in one basket.
