actually it is a clinic visit (one of the requirement in school)
the purpose of this visit is to have an interview with the staff about the facilities and equipment, services offered in their clinic etc.

It would be helpful if you could give us more information. What type of agency is it? What type of visit is this? Do they regularly host people or is this a unique incident?
For sure, you should be courteous and polite. You should also emphasize that you will not be a burden on them. Try to be specific about the parameters of your visit so they know they won't have to put a lot of work into it. Also, be sure to explain the reasons for your visit.
