I am a receptionist and co- moc (manager of communications) for a large building company, I am in charge of sorting mail, and you know those envilopes that some companies send you to reply with, well most of the employees don't want those, since I must open all of the mail before I can rout it I take all of the envilopes out. I was taught to open all of the mail make a pile and then start routing it. There is one employee who wants to keep these envilopes but by the time I figure out what letters are his I have already thron away all of the envilopes so he comes up to me every day and begins complaining, but I don't know how to fix the problem,

which is where you guys come in, what do you think I should do

oh yah and I know that my spelling sucks, but I typed this in a hurry I need to get back to work

Sort his mail first. Exception to your own rule, but should not take long to do that before you start opening them all.

I completely understand your problem. I work in an office, too and it is the little things that can cause the receptionist or secretary big problems. For instance, using spell check on your question would have only taken a few seconds, probably not more than a minute. By taking the time to run spell check you could have prevented the stress you put on yourself at the end of your question when you had to apologize for your spelling!
The idea of keeping all the envelopes in a separate pile and then matching the envelopes to this one employee's mail is an awesome solution. It will take time to get used to doing it, but you will get the hang of it and you will avoid stress by figuring out how to work with this person. Keep up the good work! You are doing an awesome job!

Instead of throwing away the envelopes, make a pile of them, too, and arrange them according to the mails. For example, if you have ten mails, and 3 of them come with the reply envelopes, if you make a pile of letters from 1-10, keep the envelopes from 1-3. This way, when the particular employee comes, you can just ask him/her to browse through the envelopes and take his/hers or alternatively, help him/her to find the envelope from the pile. I am sure if you explain your problem and offer to help, the employee will surely understand.

When you pull out the envelopes, make a separate stack of the "offending" envelopes that you have removed.

When the person comes up who wants the envelopes, hand him the entire stack.

Go with what the majority wants in the office... not the minority.

why can't you just put the mail back in the envelopes it came in after you open it for that particular person? I have to do that sometimes at my job and thats what I do for everyone. I put everything back in the envelope before i route it.

Just set these aside, instead of throwing them all away. Then, when you get to that employee's mail, you can add one of the envelopes back to that item.

Leave the envelopes in all the mail. It shouldnt be your job to police everyones mail.

Tell him to get a life. Don't let one jerk at work ruin your day. You could always do what I do when someone complains around here. I simlpy say, "I am accepting resignations today. Do you want to put one in?"

well can he fire you?cuz if not ask him politely and say.......excuse me sir, but its hard enough seperating mail that comes in. and it makes it even harder when you come here every day complaining and herrassing me for envelopes.no one here wants them except you and you make my job harder than it already is.
